Position: Event Management Intern

Description:

We are looking for individuals who want to gain experience in all aspects of the event planning process and running a business. Students will have the chance to learn about the industry first-hand and have high accountability as they will be given high priority, real world tasks throughout the internship.

Responsibilities:

Event Planning and Production • Assist in all aspects of planning events, working with clients, event coordination, and execution. • Assist in creating event collateral, outreach through media and social media channels, and email blasts. • Efficiently gather information on each project to achieve quality event execution • Conduct research, make site visits and find resources to help staff make decisions about event possibilities. • Propose new ideas to improve the event planning and implementation process. • Serve as liaison with vendors on event-related matters. • Candidates should have a love for special event management, a willingness to provide outstanding customer service, be an enthusiastic professional, and be able to build relationships with internal and external customers. • Must be able to anticipate project needs, discern work priorities, meet deadlines, and be willing to work occasional evenings and weekends, (eg. the night of the event). • Assist with managing on-site production and clean up for events as necessary. • Closeout all events as required. • Develop a mechanism with template for event summary to be generated for mass distribution.

Expected Outcome:

1. Well documented process and procedure that any volunteer can use for any of the volunteering projects          using standard open-source tools like Google Docs, Google Sheets.

2. Demonstrate this process working on a current project of the organization.

3. Make the process to be compatible and easy to use on mobile as well as a laptop- User Interface-GUI.

4. Plan the process to be upgradable for future updates and automation.

5. Prove this functionality fully functional with one of the Bay Area new proposed Events/programs - ex: Annual Banquet or Dhandiya.

*Duration: 3 Months - expected work 5-7 hrs per week.
